Please read the following guidelines before requesting a facility reservation or tabling through the Department of Recreational Sports. After reviewing the policies, please use one of the forms at the bottom of this page that best describes your organization to submit your reservation.

Reservations and Requests Overview

The Department of Recreational Sports facilities are primarily for use by University of Florida students, faculty and staff. The guidelines below describe the process needed to reserve a facility depending on the type of organization and the type of facility being requested. All reservations and requests are processed on a first-come, first-served basis.

Our operational hours are established to ensure maximum accessibility for students, faculty, staff, and members of the Department of Recreational Sports. While groups are permitted to reserve facilities for specific events, please be aware that there may be limits on availability based on the date, size of the group, and nature of the event.

General Guidelines

  • Requests must be submitted at least 3 weeks prior to your desired event date due to processing.
  • A minimum processing time of 15 business days is required for all reservations.
  • If you cancel your event or your event’s permit is denied by Student Activities and Involvement or The UF Office of Business Affairs, please notify RecSports by sending an email to the Reservation Team you have been in contact with.
  • Fees and/or donations may not be charged to or collected from UF students to participate in events held in the Student Recreation & Fitness Center or the Southwest Recreation Center.
  • Insurance may be required in accordance with UF guidelines.
  • If there is any damage to the facility and/or the facility is not cleaned properly, the cost of the repairs and/or clean-up will be charged to the group responsible. The group will also forfeit the privilege to reserve the facilities in the future.

When submitting your event request, please include the following details:

Primary Point of Contact for your event

Type of Group or Organization (e.g., student org, department, external group)

Preferred Date and Time, along with any backup options

Requested Facilities, Spaces, Equipment, or Services

Event Overview – include what the event is, who will attend, what you plan to bring, and any support or resources you’ll need from us
